Analyst, RFx Management – Procurement Operations

As part of the Procurement Operations team, the RFx Management Analyst executes operational activities that support the set-up of RFx events in the Bank’s procurement technology application.

Reporting to the RFx Management Manager, this position provides support assistance to Sourcing Managers, Evaluators and 3rd parties during the running of RFx events and with general questions.

This role is responsible to follow and execute the RFx procedures to ensure Operational Level Agreement targets are met.

Work is performed in accordance with the Scotiabank values and guiding principles, and in adherence to the Scotiabank Code of Conduct.

What you’ll do in this role?

• Champion a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.

• Operate the Bank’s procurement technology solutions for setting up RFx events, based on Sourcing Manager specifications.

• Interact with Sourcing Managers to support RFx events including: training, live monitoring, evaluation and awarding events.

• Interact with Suppliers (3rd parties) and Evaluators for training and RFx support.

• Maintain RFX templates, including periodic updates.

• Review and abide by Standard Operating Procedure (SOP) documentation recommending changes as necessary that ensures data quality and consistent delivery of service according to established Operating Level Agreements (OLAs).

• Review and use Problem Resolution Procedure (PRP) documentation to resolve common problems to be solved or further escalated.

• Escalate issues to Sr.

Analyst and/or Manager, Sourcing Managers, Suppliers, or other internal stakeholders and track to resolution.

• Generate reports from the system/databases to monitor the RFx use and adoption, as well as OLAs and operational KPIs.

• Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

• Actively pursues effective and efficient operations of his/her respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

What we’re looking for?

• Post-Secondary Education completed
• 2 years of operations, business administration, business analysis, data analysis, business process improvement, and/or business help desk experience.

• Proficient with Microsoft Office (Word, PowerPoint, Visio) and Excel (able to write compound formulas, effectively use lookup & references functions, logical functions and text functions at a minimum).

• Detail orientated with excellent analytical skills and data collection and manipulation experience.

• Good written, oral and presentation skills and an ability to synthesize information and make clear, concise recommendations.

• High level of self-motivation and initiative, and ability to operate effectively as a team player.

• Good customer service skills when dealing with internal and external stakeholders.

• Experience with Coupa or other eProcurement software is desirable, not required.
